How we contract, quote and hand over

The commercial questions worth asking any IT provider before you sign — answered here rather than left for the first invoice to reveal.

The short version

ITVEDA quotes a fixed annual AMC figure after a free audit, lists exclusions explicitly in the contract, and approves any out-of-scope work with you in writing before starting it. You own every credential, licence and document produced during the engagement, and you keep all of it if you ever change provider. Contracts run twelve months for AMC and from one month for equipment rental.

How is an IT AMC priced?

AMC pricing is driven by three things: the number of systems under contract, whether cover is comprehensive or non-comprehensive, and the response time you choose. Servers, firewalls and network equipment are counted separately from desktops because they carry different risk. You receive a single annual figure after the audit, and it does not move during the contract year unless the device count changes.

Do you charge for the initial audit?

No. The audit of your existing estate is free and the findings are given to you in writing whether or not you go on to buy anything. It exists because quoting an AMC without knowing what is in the building is guesswork, and guesswork is what produces the extra invoices later.

What is the minimum contract length?

AMC contracts run for twelve months. Equipment rental starts at one month and is commonly taken for twelve, twenty-four or thirty-six months, with the rate falling as the term lengthens. Project work — cabling, a firewall deployment, an office fit-out — is quoted as a fixed-price project with no ongoing commitment attached.

What happens if you need to do work outside the contract scope?

It is quoted and approved by you in writing before anything starts. Nothing outside the agreed scope is carried out and invoiced afterwards. The exclusions are listed explicitly in the contract rather than left implied, which is why the scope conversation happens before signature and not during the first incident.

Can we combine several services into one contract?

Yes, and it is usually cheaper. Services that share a site visit, a survey or a documentation pack cost less delivered together than bought separately. A combined contract also means one helpdesk, one asset register, one renewal date and one invoice.

How does onboarding work, and how long does it take?

Onboarding runs about two weeks for a typical office. Week one is the audit, the asset register, monitoring agents and remote access tooling. Week two covers credential handover, backup verification, patch baselining and a session with your team on how to raise tickets. Support begins on day one regardless — you are not left uncovered while onboarding finishes.

Who owns the admin credentials and documentation?

You do. Firewall, server, Microsoft 365 tenant, NVR and switch credentials are registered in your organisation's name and handed over. So are the port maps, rack diagrams, VLAN plans, IP schedules, asset register and licence entitlements. Withholding any of that as a retention tactic is precisely the practice this company was set up to avoid.

What happens to our systems if we change provider?

You keep everything: credentials, documentation, licences registered to your company and any equipment you own. We hand over to the incoming provider and answer their questions during the transition. Rented equipment is collected, wiped to a recognised erasure standard and certified.

How do you handle our data and access to our systems?

Engineers work under named individual accounts, never shared logins, so every action is attributable. Remote access is through an audited tool with session logging. Access is granted per engagement and revoked when it ends. Data on devices taken for repair is left intact wherever the repair allows, and any drive that must be disposed of is erased to standard with a serial-numbered certificate issued to you.

Do you work outside business hours?

Yes. Cutovers, migrations, cabling in occupied offices and firewall replacements are normally scheduled outside working hours precisely so they do not disrupt anyone. Standard office hours are Mon–Sun, 9:00 AM – 9:00 PM, and AMC customers have out-of-hours cover as part of the contract.

Can you work alongside our existing IT team?

Yes. Co-managed arrangements are common: the internal team keeps user-facing work and project ownership while we take escalations, out-of-hours cover, patching, infrastructure and procurement. It is usually the right structure once an organisation has one or two IT people who are stretched rather than idle.

Do you supply to companies outside your on-site coverage area?

ITVEDA serves clients PAN India. Engineers reach site the same day across Noida, Greater Noida, Delhi, Gurugram, Ghaziabad, Faridabad, and scheduled installations, cabling, hardware delivery and project work are carried out nationwide. Remote support, procurement, software licensing, Microsoft 365 administration and cloud work reach anywhere in India, so a single-office client in another state is supported exactly like one down the road.
